Forming a New Chapter
Hosting a Rally A chapter officer acts as rally coordinator. He or she is responsible for overseeing selection of a site, publicizing the rally, finding a rally host, and accounting for the money. The intention of a rally is to have fun, not to make money. Be sure that someone sends in the bimonthly rally form to announce your future meetings and rallies.
Rally Host
A host is responsible for seeing that the rally runs smoothly. The host appoints chairpersons to cover parking, registration, entertainment, meals, and cleanup. It is better to delegate jobs because it is more fun and less work when a lot of people participate. The host and the parking chairperson should arrive one day early to check the site, make plans, and be on hand to greet early arrivals.
Duties of Parking Chairperson
Make a plan of the site to allow for requirements for the handicapped and for larger RVs. Check for special problems such as trees, soft ground, and maneuverability. Enlist early arrivals to help park rigs. Ask all to display their names in easily seen locations on their rigs.
Duties of Registration Chairperson
Arrive early. Register all persons in each rig. Collect rally and parking fees plus any charges for meals or special events. Provide a program or have one displayed, and give door prize tickets and any informational material to all attendees.
Duties of Program Chairperson
Plan daily activities, including morning coffee with donuts or a toast buffet (paid for by rally fee) and an afternoon social hour. A few discussion groups or seminars add interest.
Check with the local chamber of commerce for places of interest, and arrange tours, trips, etc.
End of Rally
Acknowledge all who participated, especially the chairpersons. Announce the next rally. Check the area. Make sure it is clean, and retrieve forgotten items. Clear with the park's manager as to the condition of the site, and ascertain that all bills have been paid. Be sure to get receipts.
